This explains how we keep your information safe when you use VESPA Academy
Quick Summary: We collect some information about you to help improve your learning experience. We keep it safe and we don't sell it to anyone. Your school is in charge of your data (they are the “controller”) and we run the Platform for them (we are the “processor”). You can ask to see or delete it anytime via your school!
📝 What information do we collect?
When you use VESPA Academy, we collect:
- Your basic info: Your name, school year, and class (and gender or similar details if your school provides them)
- Your questionnaire answers: What you tell us about your study habits and mindset
- Your activities: Responses to VESPA activities and exercises, goals, and notes you write
- Optional AI chats: If you use tools like UniGuide or Study Planner AI, we store those conversations to help you and to make the tool work. When you use an AI tool, the information needed for that reply (which can include your first name and what you typed) is sent securely to our AI partner OpenAI to generate the answer. We do not sell that data, and under our agreement it is not used to train their models.
- Technical stuff: Like what device you're using (needed to keep the site working)
🎯 Why do we need this information?
We use your information to:
- Create your personal VESPA report
- Give you activities that match your needs
- Help your teachers support you better
- Power optional AI helpers (like UniGuide or study planning tips) when you choose to use them — AI suggestions are advice only, not decisions about you
- Show how scores compare with anonymous national averages (no one can look you up from those national numbers)
🚫 We promise: We will NEVER sell your information to anyone. Your school decides why your data is used; we only use it to run VESPA for your school.
👀 Who can see your information?
- You: Can always see your own reports and activities
- Your teachers: Can see your results to help support you
- VESPA team: Only to help run the service and fix problems
- Trusted tech partners: Secure hosting (main records in Europe) and, when you use AI tools, OpenAI to generate the reply — they process that request to run the feature, not to sell your data
- Nobody else for marketing: We don't sell your information
🔒 How do we keep it safe?
We protect your information by:
- Using secure, encrypted connections (like online banking!)
- Storing your main records on protected servers in Europe (powered by Supabase); some helper services (like optional AI replies) may process a request outside the UK/EEA under strict contracts
- Only letting authorised people access it with role-based permissions
- Regular security checks and updates
⏰ How long do we keep your data?
- Your personal data stays until you finish using VESPA
- We give everything back to your school when you're done
- We may keep anonymous national averages (with no names) so schools can compare scores fairly

You have the right to:
- See what information we have about you
- Fix anything that's wrong
- Ask us to delete your information
- Get a copy of your data
