What it costs

Guide prices by cohort size

Typical annual totals at Core, by cohort size. Plus is usually around 30% more; Complete around 60% more. Final quotes reflect your numbers and how much support you want.

Choosing a level

The figures above are for Core. Plus typically sits around 30% above them and Complete around 60% above — and however large your cohort, no single school pays more than the cap. If a level costs more than your budget allows, tell us: we would rather find a way in than lose the conversation.

Staff accounts

Every Coaching Portal licence includes free staff seats that scale with your students (rounded up), plus one primary contact:

  • Core — 5% + 1 (pastoral / tutor team)
  • Plus — 8% + 1 (room for futures / UCAS leads)
  • Complete — 10% + 1 (sized for subject teachers running Assignments)

Need more? Extra staff accounts are £30 per person per year from 100 students up (£60 on smaller cohorts). You can add up to the same number as your free allowance; beyond that, grow the student cohort. Coaching Portal is for 25+ students — materials-only / staff-only access is Resource Portal.

All figures exclude VAT and are guides, not quotes: your price reflects cohort size, phase, how many staff need access and how much implementation support you want. New schools pay a one-off setup fee of £100–£250 depending on size; schools renewing pay no setup fee. Designed for cohorts of 25 students and above.

Multi-academy trusts are priced at a fixed fee per school, not per student — so a 100-student academy and a 350-student one cost the same.

Around 50% on top of any package, from a single licence upwards. On team packages you build a curriculum and share it with staff; on an individual licence you use the same tools to plan and build your own delivery.

Training & services

Training and services

Delivered by the people who wrote the books. Priced separately from your subscription and bookable at any level. Schools often bundle these into a single package — tell us what you need and we'll quote it as one figure.

Coaching conversations training

Separate from your included portal training: 90 minutes on running effective coaching conversations, online or in school, led by Martin Griffin, co-author of The A Level Mindset and The GCSE Mindset. Counts as CPD / INSET.

Student onboarding workshop

A short keynote on the VESPA rationale, then students self-register by QR code, complete the questionnaire and get their report — all in one session. Bookable as an add-on on any Coaching Portal tier.

Student development programme

Revision strategy workshops, academic mindset keynotes and exam preparation sessions, tailored to your cohort and delivered across the year. Book by the session or as a series.

Deep Dive analysis

We read your VESPA scores and student responses across all three cycles and write up faculty comparisons, statement-level progression and development priorities. Included on Complete.

Questions we get asked

Why isn't there a single price list? +
Because a 40-student pilot and a 1,200-student college are genuinely different pieces of work. The guide figures above are real — most schools land within about 10% of them — but the final number reflects your cohort, your phase and how much support you want.
Do larger cohorts pay less per student? +
Yes. Cost per student falls as cohort size rises, and the totals above never increase faster than your numbers do — a school of 190 will never be quoted more than a school of 200.
Can we start with Core and move up later? +
Yes, at any point. We'll credit what you've already paid against the upgrade for the remainder of your year.
How many staff accounts are included? +
Staff seats scale with your student numbers: Core includes 5% of students (rounded up) plus 1 primary contact; Plus includes 8% + 1; Complete includes 10% + 1. Extra seats are £30 per person per year from 100 students up (£60 on smaller cohorts), and you can add up to the same number as your free allowance. Coaching Portal is for cohorts of 25+ students — if you only need teaching materials for staff, choose Resource Portal instead.
What happens if we are already a VESPA customer? +
Current Coaching Portal schools keep full Complete access for the rest of their current subscription year. Current Resource Portal schools keep Resources Plus until their current subscription ends. At renewal we quote against the new tiers and packages — nothing changes mid-year.
Is there a setup fee? +
New schools pay a one-off £100–£250 depending on size, covering implementation, onboarding and initial training. Schools renewing pay nothing further.
Can we buy through a framework? +
Yes — we supply through Everything ICT, which lets schools and trusts purchase without running a separate tender.
Can we bundle training into the subscription? +
Many schools do, particularly trusts. We'll quote the platform, staff training and student sessions as a single annual figure if that's easier for your budget.
